ACCOUNTS PAYABLE (AP) SPECIALIST
Are you a highly organized financial professional with a keen eye for detail? We are seeking a dedicated, experienced Accounts Payable (AP) Specialist to play a vital role in our growing company’s financial operations. You will be essential to ensuring the smooth, accurate flow of payments, managing key vendor relationships, and contributing directly to our month-end financial closure process.
Key Responsibilities:
- Process high-volume invoices using a three-way matching system (invoice, purchase order, and receiving documents) where applicable.
- Review, verify, and code invoices and expense reports for proper general ledger allocation.
- Prepare and execute weekly payment runs (ACH, wire transfers, and checks).
- Maintain accurate and organized vendor records and documentation, including W-9 forms.
- Resolve invoice discrepancies and follow up on outstanding issues with internal departments and external vendors in a professional manner.
- Reconcile vendor statements, identifying and correcting errors or omissions.
- Assist with month-end closing procedures, including preparing accruals and AP-related journal entries.
- Support audit requests and assist with annual 1099 reporting.
- Ensure compliance with internal controls and company financial policies and procedures.
Qualifications:
- Education:
- An associate’s degree in Accounting, Finance, or Business Administration is preferred. A high school diploma or equivalent is required.
- Experience:
- 1-2 years of experience in an Accounts Payable role is preferred.
- Technical Skills:
- Skilled in utilizing accounting software for data entry and processing, coupled with competency in standard office technology and systems.
- Familiarity with Vista’s Accounts Payable program is preffered.
